Context
Northbound Capital manages €340M in assets across four strategies with a 20-person team. Finance is a 3-person function: one CFO and two analysts. Every month, the close cycle runs for 5 to 6 business days — during which the CFO fields the same recurring questions from portfolio managers, the CEO, and external auditors: budget variance explanations, cut-off adjustments, provisions commentary, and standard regulatory disclosures. None of them unusual. None of them easy to delegate without context. The constraint Sophie M. set from the first call: no new tools, no stack change, no data migration. The team ran on Excel and Notion. That was not going to change. The question was whether a well-designed assistant could plug into what already existed — without a 6-month integration project — and reliably absorb the bulk of this monthly question load.Audit
Day 1 was a structured review of close archives from the previous 6 months. We pulled every question thread from email and Notion, categorized them, and measured average response effort per category. Findings: 42 recurring questions per close, grouped into 4 categories — budget variance explanations (18), cut-off and accrual items (9), narrative commentary for board and regulatory reporting (11), ad hoc validation requests (4). Together, these 42 questions consumed an estimated 16 hours of CFO time per monthly close. The diagnosis was clear: the bottleneck wasn't data access — the numbers were in Excel and the context was in Notion, both maintained and up to date. The bottleneck was the CFO's time required to retrieve the right figure, place it in context, and draft a well-framed one-paragraph response. Results
Measured over the first 3 closes post-deployment. 80% of the 42 recurring questions — 34 out of 42 — handled automatically: the CFO validates the drafted response and sends. Average time per question: from 23 minutes to under 4 minutes. Two full working days per month freed. Over 12 months, that is 24 days of CFO time redirected to portfolio analysis, investor relations, and regulatory projects that had been consistently deferred. An unexpected secondary effect: the assistant's responses improved consistency across closes. Before, the same variance could be framed differently depending on the CFO's available headspace at the time. Now, the language is stable, conventions applied uniformly. Auditors have independently commented on the quality improvement of the commentary packages — without knowing the cause.Trajectory
Northbound is extending the assistant to quarterly board reporting — a 4-page narrative document currently requiring 12 hours of CFO time. The target: first draft generated in under 20 minutes from close workbooks and prior quarters' materials, with the CFO's review focused on strategic framing rather than document construction. A second workstream is evaluating direct structured export from the accounting system to remove the last manual step — Excel file preparation before close. Timeline: Q3 2026.
